Lucknow: In order to ensure transparency, timeliness and accountability in the functioning of the Secretariat, the Yogi government has linked all the departments to the e-office and rapid digitalization is going on by scanning the records and the old files of all the departments/sections.
In alignment with CM Yogi’s intentions, a decision has been made to expedite the process of implementing e-office. It is noteworthy that in the offices of the Government of India, seven versions are used to create space through digitization. Now it has been decided to implement it in the state also, under which version 7 will be initiated for running the e-office in the Secretariat.
Presently, the e-office in the Secretariat of Uttar Pradesh is operated on version 6.2, whereas with the start of the process of migrating to version 7, the e-office operations will be able to work in an easier and simpler manner than before.
Action plan ready to implement version 7 of e-office
An action plan has been prepared to start the process of implementing version 7 in the state soon. For the implementation, secretariat employees will be given training on version 7.0 of the e-office. In addition, the Secretariat administration has started the process of replacing old computers and equipment to start the migration process.
When Chief Minister Yogi Adityanath took over he had initially imposed a three-day deadline for disposing of the Secretariat files. However, the absence of a monitoring system made it challenging to confirm whether this directive was effectively enforced. Consequently, there was uncertainty regarding its implementation. After this, CM Yogi instructed officials to bring secretariat to district level administrative offices on the e-office system for the timely disposal of files.
79% of files of secretariat operated on e-office
E-office system is implemented for handling files in all the departments of the Uttar Pradesh Secretariat. Under this system, till now 14.84 lakh file files have been uploaded to the e-office. About 79 per cent of the files are being operated on e-office by all the departments of the Secretariat.
As per Chief Minister Yogi Adityanath’s intention, uploading of files from all secretariat departments onto the e-office platform is currently underway. The secretariat administration aims to upload all the files to the e-office by November.
Additionally, the administration is in the process of preparing a ranking of the top 10 and bottom 10 departments. Once the list is released, the top 10 departments will be encouraged by the administration to operate the e-office while the bottom 10 departments will be given training for full implementation of the e-office.
Once the shortcomings of the departments are addressed successfully, they would be connected to the e-office. Furthermore, for quick disposal of files, the channel of presentation of works and the level of decision will be decided and its compliance will be ensured in all the departments.
